Regular translators – your guarantee of high quality

We use a proven selection process to select professional mother-tongue translators for the language combinations and services of your choice; we ensure that they are a fit for your company, since they will be working for you in the long term. If you are already working with experienced translation professionals, we will be pleased to assimilate them into our team.

Regular translators can do more: with every translation, they know more about your company, ensure consistency in terms of your linguistic style, and work on expanding your corporate terminology. They are also very available to you. And if they happen to be on holiday, their replacement is already in the loop: our process-oriented and ISO-certified ERP system finds a suitable replacement for the language combination and subject area in question and provides him or her with support throughout the translation process.

Before translators can work for Apostroph Group, they undergo a recruitment process which involves checks by independent proofreaders. Of the 100 or so applications we receive each month, we shortlist suitable candidates in accordance with our criteria and those of the ISO 17100 translation services management standard. They perform two translations, which are then scrutinised and evaluated by our experienced proofreaders. Apostroph Group’s rigorous selection criteria whittle the candidates down to ensure only the best work for you.

We also operate a vendor management policy, under which one of our members of staff is dedicated to recruiting new translators and maintaining existing client relationships. In this role, she has access to the management’s extensive network of contacts.

Integration into your company network – the perfect solution

We integrate and centralise all our linguistic services, such as translation, proofreading, comparative proofreading and re-reading. In doing so, our language professionals observe your corporate standards and language. As a result, you have round-the-clock access to all our quality services via your in-house network.

Your company is unique – as are the services we provide: we deploy the latest technologies and develop processes which are tailored to your requirements; we also implement interfaces to your company’s IT system and create terminology databases. Moreover, we can assist you with further tasks, such as DTP.

Since its founding in 1994, Apostroph has ensured the integrity of its business processes through its in-house quality-certified ERP and order-fulfilment application, APOS (Apostroph Order System). Maintained and upgraded on a regular basis, APOS provides an excellent quality-assurance framework for our translations.

Our SQL database contains all our client, expert and order data; this facilitates up-to-the-minute reporting. The orders are processed by means of a built-in high-performance billing application.

All client-related data is stored in Switzerland, with backup data kept safely in a Swiss bank.

Interface and connectivity – linked to your company

Simplify and speed your workflow by linking directly to our linguistic services, such as translation, proofreading, comparative proofreading and re-reading – or incorporate them directly into your CMS or editing system using plug-ins and add-ons: the ultimate in connectivity.

Apostroph Group is already and successfully operating a wide variety of interfaces with clients – the efficient way to submit orders, manage the process and re-import the translated texts. The interfaces can cope with almost any system, including editing applications, CMSs, DMSs, CRM or SRM applications, or whatever you use.

ns.publish – the one-click wonder

Does your company use ns.publish for its publishing requirements? A fully automated interface built into the myAPOSTROPH web portal provides one-click ordering of translations and other linguistic services. You can leave the rest to us.

This is how it works: clicking on “Start translation” initiates the fully automatic translation order process. Your regular Apostroph Group translator then carries out the translation in accordance with the proven and certified ISO 9001 and ISO 17100 standards. We then transfer the translated text directly into ns.publish, and you click on “Accept” to import it into the editing application.

Enter into an outline contract complete with service level agreement – and benefit from our demand-driven, high-quality linguistic services – translation, proofreading, comparative proofreading and re-reading – as well as from attractive terms.

The outline contract governs the agreed pricing structure, confidentiality and data protection in respect of your chosen services, while the SLA defines the agreed order fulfilment process, detailed scope of services, regular reporting and service times.

Security – every step of the way

Confidentiality is our business – with or without a non-disclosure agreement. The documents and texts entrusted to us for translation by your company are stored in encrypted form (2048-bit) on our secure servers in Switzerland.

We employ the latest IT to ensure that your data is safe with us: we update and upgrade our data encryption programs, virtualised servers, terminal server technology and high-performance software on a regular basis. We have aimed to provide the state of the art ever since our founding over 20 years ago. The current versions of our programs are as follows

We never use cloud services to store data; instead, we guarantee that your data is stored securely on our own servers in Switzerland.

Translation Memory – nothing gets forgotten

Language is a key part of a company’s corporate identity. The “Translation Memory” system used by our translators' computer-aided translation applications helps ensure that they and other language professionals apply your corporate language uniformly and consistently across all your languages.

Here at Apostroph, everyone works with SDL Trados productivity tools. For instance, we use SDL MultiTerm, a key online solution for storing and managing terminology. MultiTerm is a major help in terms of optimising the translation process: it means that our translators have access to our terminology databases and can automatically adopt client-specific terminology while they are working. This enhances the efficiency of the translation process and contributes to the uniformity, consistency and quality of contents across all languages.

Glossaries – access anytime, anywhere to your corporate language

We can create a glossary database for you so that our translators have access to your terminology. We keep the database up-to-date and offer you password-protected access to our Trados server so you can manage its contents. It means that your authorised users, wherever they are in the world, have round-the-clock online access to your in-house corporate language guidelines.

Creating such a database makes sense not only from a time-saving and therefore financial point of view, but also ensures that your company’s terminology and corporate language are applied systematically and across the board.

We can give authorised users access to your terminology database via a web solution. It means that authors and translators with the relevant rights are able to edit its contents.

File formats – what's best for you?

Our language professionals work with all the common file formats, including Microsoft Word, Excel, PowerPoint; PDF, MIF, EPS, INX, IDML, XML and others – as well as with exports from CMSs and ERP and other editing/publishing systems. We also use Adobe InDesign, FrameMaker, Illustrator and QuarkXPress. When it comes to XML, HTML and HTML5 formats, we have proven standard processes that save you all that laborious copying of texts.

The use of computer-aided translation tools allows the automatic extraction of text from a variety of translation environment formats without affecting the format itself. All we ask is that the source text is appropriately formatted, e.g. no hard returns at the ends of lines, and text boxes in PowerPoint presentations should not divide contents.

Unless other arrangements have been made, the definitive translated text will either be sent to you via email or made available to you via the myAPOSTROPH client portal in the same format as we received it. PDF files are a different matter: the text they contain is returned to you unformatted in MS Word. So that you can take full advantage of our language technology, we recommend not furnishing us with PDF files if at all possible.

E-invoicing – for a smooth-running workflow

In 2013 Apostroph was the first translation agency to switch over to full electronic invoicing. Our foresight has reaped rewards: e-invoicing is easier and quicker when it comes to processing – and there’s no manual gathering of data or physical archiving of paper. The enhanced data quality means fewer errors. E-invoices are also easy to incorporate into your existing finance applications and workflow procedures. Payment processing takes much less time and payments are correctly logged in your bookkeeping system and securely stored on your server. Moreover, invoices reach their destination more quickly, while payment deadlines are always in view and can be better leveraged. Last but not least, e-invoicing means less paper – which is better for the environment and saves you money.

That said, clients can be issued with conventional paper invoices on request – whatever suits you best.

At Apostroph, you are assigned a personal project manager as your single point of contact. The project manager gains familiarity with your company with every order and understands your requirements and preferences when it comes to linguistic services.
